All Operations Vendors Overview

An All Operations Vendor (also referred to as an "all ops vendor") is a specific classification in ClearToPay™ for subcontractors or vendors who work across multiple jobs for your organization. Instead of managing compliance requirements, like insurance, separately for every individual project, this feature allows you to track the vendor as a single entity and maintain its information in one place.

Note

To be able to create and use All Operations Vendors, a System Administrator or Compliance Manager must select the Allow All Operations Vendors check box on the Company Settings > Configuration tab.

All Operations Vendors:

  • Only insurance and custom compliance are tracked at the All Operations Vendor level. If lien waivers, commitments or certified payroll compliance tracking are required for a project, the vendor must also be added to that specific job.

    Note

    Insurance is tracked at the all ops vendor level if the Track As All Operations Vendor check box on the job's Vendor Settings page is selected. If that check box is deselected, the Track Insurance check box displays along with a section where you can enter job-specific insurance information.

  • All Operations Vendors may be especially useful for short-term projects where a vendor can provide a single certificate of insurance that satisfies compliance for all assigned jobs, eliminating the need to submit multiple duplicate certificates.

  • All Operations Vendors can have a tier vendor structure, where one all ops vendor is a subcontractor to another all ops vendor.

Job-Specific Vendors:

  • These vendors are assigned directly to a specific job or managed within a tiered hierarchy (as a subcontractor to another vendor) for that job.

  • Compliance requirements and documentation are managed on a job-by-job basis, ensuring that the specific compliance needs of that project are met. These can include:

    • Insurance

    • Lien waivers

    • Commitments

    • Custom compliance

    • Certified payroll
