Vendor Lien Waivers
Lien waiver documents must be provided by the general contractor to vendors and tier vendors so they can be signed and returned. Using the templates created in Waiver Forms, general contractors can ensure the use of intentional and legal wording. When documents are generated for distribution, ClearToPay™ uses these templates to produce the final copy which includes the job record, the subcontractor’s record, associated commitment records to provide the required information and signature requirements.
Via the portal, vendors have the ability to download, manually sign and upload a copy of the lien release. See ClearToPay™ Portal for more information.

From the Jobs page, select a job from the list to access its vendors.

All operations vendors to do not track lien waivers.

Select the vendor whose lien waivers you want to see.

From the vendor's Lien Waivers page, you can do the following:

The ability to generate waivers, edit waivers and what you can see in the system varies based on your ClearToPay™ permissions. See ClearToPay™ Access Permissions for more information.
Unconditional Final Received | Select the check box to filter the list to display only the lien waivers that have the unconditional final signed and returned. NoteUnconditional final waivers are sent after (or with) payment to the subcontractor when the job is complete, and represents a full release of lien. | |
Show Only Outstanding | Select the check box to filter the list to display only the lien waivers that have not yet been received/returned from tier vendors. | |
Include Tier Lien Waivers | Select the check box to filter the list to display lien waivers for all tier levels for this vendor. If left blank, only the lien waivers for the primary vendor display. NoteIf any tier vendor is not compliant, the primary vendor above them is also considered to be out of compliance. | |

To add a new waiver for this vendor, click . For more information, see Add Vendor Lien Waivers. | ||
Select one or more waiver records from the list, then click to stop tracking these waivers. | ||
Click to refresh the list manually to include changes made in the Portal and at the tier vendor level. | ||
Click to print the Waiver Records grid. | ||
Click Edit to make necessary updates to an existing record. See Edit Vendor Lien Waivers for more information. | ||
Click to view the lien waiver document as it was sent, with all variable fields replaced with the correct job, vendor and waiver information. | ||
Click to select a template and send an email reminder. This could include an email to vendors reminding them to return the lien release, send project managers a vendor compliance report or remind accounts payable to withhold payment. These templates are created and managed within . | ||
Waiver Record Details | When a waiver is selected from the list, the Waiver Record Details section displays details for that waiver, including invoice information, a list of exceptions, miscellaneous notes and payment information.

Complete the following steps to add a new waiver for this vendor:
From the vendor's Lien Waivers page, click .
The Add New Waiver dialog displays with the Job Name and Vendor Name fields populated based on your currently selected ClearToPay vendor.

Select the waiver type and waiver pay type.
Enter the applicable dates in the Through Date and Due Date fields. The Received Date field represents when the signed waiver is received back from the vendor, and can be left blank.
Note
Through Date represents the end of the work billing period, and the waiver should cover all work performed since the previous waiver and through date. Due Date is the deadline for the vendor to sign the waiver or be considered out of compliance.
In the Amount field, enter the total dollar amount being waived.
In the Exception Amount field, enter the total dollar amount for work and materials that are not included in the waiver, if applicable.
Select the check box if the check is a multi-party joint check listing multiple payees.
In the Invoices section, you can enter or select specific invoices to be listed or totaled in the waiver document.
Note
Use the button to manually type invoice lines or the button to search and select invoices from Sage Paperless Construction or the bridged accounting system. See Add Invoices Manually, Lookup Invoices or Clear Invoices for more information.
(Optional) Type an explanation for what is included in the Exception Amount in the Exceptions field.
(Optional) Use the Miscellaneous Notes field to provide notes collected from the vendor verbally or in writing, or entered through the Portal.
Click .
After the waivers have been generated, Print and Email buttons are enabled in the dialog.
Print the waiver and/or send the notification email.
From the vendor's Lien Waivers page, find the waiver you want to edit.
Click the Edit
icon.
In the Edit Waiver dialog, make any necessary updates.
Note
If the signed waiver has been returned, you can mark an individual waiver as "received" by entering a date in the Received Date field.
Note
All fields except the Job Name and Vendor Name can be edited. You can also add, edit or remove invoices from this dialog.
