Queues
Sage Paperless Construction employs a special "listing" or "inbox" of non-indexed documents called a “Queue”. Queues can be assigned to individual users or to groups of users for gathering and routing documents for further processing.
Documents can arrive in a queue in various ways, including:
Adding an electronic file directly to a queue
Dragging and dropping files using capture
Using eCapture™ for files like receipts and field reports
Being manually "pushed" to a user's queue for processing
Taking multi-page documents and using the splitter utility to break it into separate files and assign those files to different user's queues
Rejecting documents in a workflow and returning them to a previous user's queue
Routing to specialized queues via OCR, APFlow™, ClearToPay™ and DocRoute™ workflows
Complete the following steps to access and use your queue(s):
From My Paperless, click .
In the Retrieve navigation bar, click .
A page similar to the following displays. You can select one of the documents in the queue and it displays in the viewer.

The Queue pane resembles the following and includes the highlighted features:
Note
Immediately above the icons located at the bottom of the OCR Queue is a number and a percentage. The number reflects the number of documents that your company has processed using OCR. The percentage reflects the usage percentage according to your company's plan, so you know when you are about to reach (or have exceeded) your company's OCR plan limits.

Click the Add to Queue
icon.
A dialog for your local computer or network displays:

Select one or more documents to be added to the queue.
In the queue, click the Refresh
icon to display the added document(s).
Complete the following steps to permanently delete a document from a queue:
Select the document that you want to delete from the queue.
Click the Delete from Queue
icon.
The following Delete from Queue dialog displays:

If the selected document should indeed be deleted, click . If the document was selected in error, click .
You can mark documents used on a consistent basis as Hot Documents. When you identify a document as a Hot Document, a shortcut link is added to the My Paperless dashboard. You can click this link to open the document instead of having to conduct searches.
To mark a document as a hot document, click the Hot Document
icon while the document displays in the viewer.
The following Add Hot Document dialog displays:

The document displays in the Hot Documents widget on your My Paperless dashboard.
(Optional) To remove a hot document from the list, select the check boxes for one or more hot documents from the list in the Hot Documents widget.
Click the button in the widget.
In the Clear Hot Documents dialog, click .

Important
This functionality only displays if DocRoute™ is licensed and the current user has Processor or Supervisor permissions in DocRoute.
Select the document(s) you want to route.
Click the Route
icon.
A Create a Document Route page displays:

In the Subject field, enter an appropriate subject topic.
Note
For example, "Bertram Dam Project Invoices."
In the Body field, enter directions to the route recipients.
Note
For example, "Review and approve the attached project invoices. Be sure to update your tasks!".
Depending on the importance of the route, select the check box. This functions as a flag for greater visibility to those individuals to whom the document is routed. Otherwise, leave the check box blank.
Click .
The Add Recipients to Route page displays.

In the Paperless Users grid, select the individuals to whom the documents should be routed for review and approval.
The populated Add Recipients to Route page should resemble the following:
Note
When you hover over the Sequence column entries, an up/down option displays to aid in making changes to the sequence numbers.

Click .
If a previously created route template applies to this route, click .
A Choose Route Templates page similar to the following displays:

Click to select the .
The recipients associated with the route template you selected populate the Recipients pane.

Important
The same reviewer can display more than once in your route. When the route template was created, specific reviewers were identified and route sequences assigned. Those reviewers with their route sequences systematically display. If you manually add the same reviewer with a different route sequence outside the route template, that reviewer displays twice based on the order of their route sequences. Your sequence could resemble the following:

Important
For the individuals to whom you are routing to receive a notification (by email or telephone) that a route has occurred, an event must be set up on each individual for every route. Otherwise, an entry shows in that individual's queue.
In the Documents to Route grid, search to locate the documents to be included in the route.
Click the Search
icon.An Add Documents to Route page displays with the Criteria tab active:

In the Keyword field, enter any appropriate search criteria to help narrow your search.
(Optional) Click the dropdown arrow to display additional fields to help narrow down your search.
The Criteria radio button within Search Options is selected by default. You can also select if you would like to narrow your search by document ID.
Note
If you select Specific Documents, your Advanced Search options are reduced to the Document IDs field. In this field you can enter specific identification numbers or leave the field blank to include all.
In the Document Type(s) field, use the dropdown to search for document type(s) to add to the current route. If using several index criteria in the search, an AND / OR option is available. AND allows the combination of several index criteria in the search. All index criteria must be met to return a result. OR allows any one of the index criteria to return a result.

You can scroll through the Indexed by User(s) list or start typing a name to populate the field and select one or more users. If you do not know who indexed the document(s) you are searching for, leave this field blank.
In the Indexed fields, click the calendar icons to select the date range.
In the Types section, select either , or . The Production radio button is clicked by default.
Click .
An Add Documents to Route page displays with the RESULTS tab active listing all documents that met the entered criteria:

Select any document(s) to be included in the route.
Click .
The Create a Document Route page redisplays with all areas populated.

Click .
As the route moves through the sequence, the individual where the route is currently has their card highlighted. This provides a clear view of where the route may, or may not, be delayed.

Note
This location identifier is present on the card view only; not the grid view.
If you added a multi-page document to the queue that needs to be split, complete the following steps:
Tip
A file to split must already be open in Sage Paperless Construction.
The file must be in one of the supported file formats: .bmp, .gif, .jpg, .pdf, .png and .tif
Select the document you want to split.
Click the Split Document Pages
icon.
The Splitter section displays:
Note
When you click on each "page", the corresponding page of the document displays in the adjacent Viewer section.

In the Split On dropdown, select one of the following:
Manually (default)
Every Page
Every (n) Pages
Note
If you select Every (n) Pages, a second field, (N)th page, displays where you can choose the split portions.
For example, if the document is 6 pages, you can enter a 2 in the (N)th page field. This means that the split is placed every 2 pages, either before or after (depending on if you selected Break Before or Break After).
Depending on how you want the pages divided, select either the or radio button.
Use the Queue dropdowns to select the queue to where each group of pages should be sent.
Important
Files can be split to any queue, even those queues to which the user performing the split does not have access.
(Optional) Use the Class dropdown to assign a document class for each group of pages, if appropriate.
Click on the page number and use the space bar to place a break between pages.
Continue splitting the file, assigning pages to queues and to document classes (as appropriate) until all pages in the document are addressed.
Once all pages in the file are assigned, the Splitter section resembles the following:

If at any time the file needs to be returned to its original configuration, click .
A notification displays to confirm that the document split was successful.
