Payment Manager

For the Payment Manager module to be visible to a user for any or all vault(s) that display in this grid, you must associate the user with the Payment Manager module and the appropriate vault(s). See APFlow™ Tab for more information.

For access to the Payment Manager module, you must be assigned the Payment Manager role. See APFlow™ Settings for more information on how to assign users to the Payment Manager role.

If you are assigned the Payment Manager role, you must also be assigned to one or more bank accounts so you can view them. See APFlow™ Bank Account Permissions for more information.

The sections below describe how to navigate payment manager functionality:

  • Who (has access)?

    Users need to be granted access to the Payment Manager module in APFlow™ Settings, General tab. In addition, users with Payment Manager permissions need to be granted specific bank account access in APFlow™ Settings > Bank Account Permissions.

  • What (can you do)?

    • Review invoices and their associated documents.

    • Run compliance checks.

    • Implement an approval process using different statuses.

  • Where (to go)?

    • APFlow™ Settings > General tab

    • APFlow™ Settings > Bank Account Permissions tab

    • APFlow™ > Payment Manager tab

  • When (are payment visible)?

    After you complete your check run or generate your EFT transactions, you can come review your payments in Payment Manager.

  • Why (use Payment Manager)?

    • Double check that supporting document is in place.

    • Verify compliance requirements are met.

  1. In the left navigation bar, click APFlow™.

  2. From the dropdown menu, click Payment Manager.

    The following page displays:

The following is an example of a blank Check Review pane.

Sage Paperless Construction "remembers" which View By choice was selected and that is the blank pane that displays the next time Payment Manager is accessed.

There are two distinct Retrieve Options views for the Check Review pane.

Check Range Retrieve Option

Bank Account Dropdown

Use the search_icon.png to access the Bank Account dialog listing bank accounts.

Click the appropriate bank account.

The bank name displays in this field.

Refresh the pane.

Starting Check Number

This is where to enter the beginning of the check number range.

Ending Check Number

This is where to enter the end of the check number range.

Search

Click Search. All checks within that check range for the selected bank displays in the pane.

Checks - Compliance

Checking the compliance of a payee's contract or insurance certification is performed through this Compliance functionality before approving the payment of associated invoices. Compliance checks can be performed either manually or systematically. Even if the payment is not entered into Sage Paperless Construction, compliance checking still occurs as a vendor check.

If the Automatically Run check box is selected, then all compliance checking is performed automatically when the entry in the grid is selected. There is no need to click Check Now for each item in the grid.

Invoices

Highlight an entry in the Checks grid, and any invoices associated with that check display in the Invoices grid. Click an entry in the Invoices grid to open that invoice's read-only invoice entry data.

Check Date Range Retrieve Option

Bank Account

Use the search_icon.png to access the Bank Account dialog listing bank accounts.

Click the appropriate bank account.

The bank name displays in this field.

Starting Check Date

This is where to enter the end of the check date range.

Search

Click Search. All checks within that check range for the selected bank display in the pane.

Checks - Compliance

Invoices

Highlight an entry in the Checks grid, and any invoices associated with that check display in the Invoices grid. Click an entry in the Invoices grid to open that invoice's read-only invoice entry data.

Note

The associated invoice image only displays if it exists in the Sage Paperless Construction system. If the invoice only exists in your bridged accounting system, the invoice pane displays No Invoice Found.
